A wedding brings people and moving parts together on a day that cannot simply be repeated. A pre-wedding session has a different rhythm: there is more freedom to choose the light, locations and time for portraits. Both need a plan that fits you, not a borrowed shot list.

Start with what matters most: the ceremony, the people travelling to be there, a quiet portrait together or the atmosphere of the place. Agree the priorities and practical details before the day so photography supports the occasion instead of taking it over.

Your wedding day and your pre-wedding session need different plans

Wedding-day photography follows real events and the people taking part. For an intimate ceremony or destination wedding, coverage may include preparations, the ceremony, family photographs, couple portraits and the reception. We define which parts are commissioned, the locations involved and the start and finish of coverage; booking one part does not automatically include the whole day.

Pre-wedding photography is a planned portrait session, separate from documenting the wedding itself. We can shape the route, pace and direction around your relationship and the photographs you want to make. Share whether you prefer an easy walk, more guided portraits or a styled setting, together with any references and preferences about physical closeness or posing.

Photography is the core scope here, not an all-inclusive wedding-planning package. Film, a second photographer, aerial work, albums, clothing, hair and makeup, flowers, decoration and transport need separate written agreement if requested. A styled photograph in the portfolio illustrates an approach; it does not mean the pictured setup or venue is included.

Make time for photographs without losing time with your people

For a wedding, share the ceremony and reception schedule, preparation addresses, travel between venues and any customs or moments we should understand. Identify the moments you most want recorded and where simultaneous activities may need additional coverage. Allow room for travel, gathering relatives and a short pause together; one photographer cannot cover separate places at the same time.

Choose a trusted family contact who can recognise the people in your priority group photographs. Keep the list practical and tell us privately about any combinations to avoid. We coordinate photography with your planner, celebrant and venue team, but do not replace them or direct the whole event. Coverage follows the agreed priorities; no photographer can promise every guest, expression or unplanned moment.

For pre-wedding portraits, discuss outfits, changing arrangements, makeup preparation and how much walking feels comfortable before choosing a route. Keep travel and outfit changes inside the time plan. If preparations run late or the celebration continues, contact us promptly: coverage does not automatically extend. Any extra time depends on availability and an agreed cost, rather than an assumption made on the day.

Choose a setting that works for the photographs and for you

A beach, resort garden, ceremony space or architectural backdrop can each lead to a different kind of picture. Tell us where you are staying, which venues are already booked and whether you want the setting to be prominent or simply a quiet background. We discuss light, walking distances and the order of locations; a beautiful reference is not a promise of identical access, privacy or conditions.

For weddings, confirm the venue and celebrant rules for photographer positions, flash, movement and restricted moments. For pre-wedding sessions, check access for an outside photographer, outfit changes and any equipment or styling. Venue fees, supplier exclusivity and permission to use particular areas must be clarified before committing. The booking should name who obtains permissions and coordinates with the venue.

Tell us about steps, sand, heat, limited walking tolerance or other access needs that could affect either of you or your guests. We can discuss a simpler route or a nearer portrait spot, but cannot promise step-free access without checking the actual location. Aerial photography is a separate request subject to permissions, conditions and feasibility; it is never assumed to be part of a beach booking.

Have an alternative before the weather becomes a decision

A wedding ceremony usually has a fixed date and a wider team involved. Agree with your planner or venue where the ceremony, group photographs and couple portraits could move if an exposed setting becomes unsuitable. Identify who makes that decision and how the photography team will hear about it. Covered spaces, an indoor portrait location or a different order of photographs may be options if the venue permits them.

A pre-wedding session may have more flexibility to change the meeting time, route or date, but a replacement slot is not guaranteed. Keep your travel dates and other bookings in mind when discussing alternatives. Cloud, rain, wind and access conditions can change the look and practical scope of a session; we do not promise a particular sunset, an empty beach or work in unsafe conditions.

Changes and cancellation are handled through the written booking terms, not a universal weather or refund rule. Contact us as soon as a concern arises and ask for written acknowledgement. Any material change, extra cost or committed third-party expense should be explained before you agree. Do not assume a cloudy forecast cancels the booking or that a date change automatically transfers every supplier arrangement.

Make space for family, comfort and privacy

Use a private contact for sensitive family information, surprises and photographs you would prefer not to make. Share only what helps us work respectfully: how people wish to be addressed, any group combinations to avoid, or moments that should remain unphotographed. If either of you needs a quieter pace or would rather have less direction, include that in the planning conversation.

For children and older relatives, prioritise the important group photographs and consider rest, shade, comfortable shoes and access to water. A parent or another agreed adult remains responsible for supervising children; the photographer is not a childcare provider. Tell us about any relevant needs in advance so we can discuss the timing without assuming everyone can stand, walk or pose for the same length of time.

Booking is not consent to public use of your photographs. Discuss private delivery and any portfolio or social-media permission separately, including whether names may be used. A booking organiser cannot automatically consent for every guest, and public use of identifiable children’s images needs appropriate guardian permission. Tell us about guest preferences before the day so these can inform the coverage and sharing arrangements.

Know what you will receive and how you can use it

Before confirmation, agree the image quantity or selection basis, who makes the selection, the editing approach, file formats, delivery method and expected handover date. Wedding-day work may tell a broader sequence of events; a pre-wedding selection may concentrate on portraits and the chosen setting. Neither implies that every frame captured, extensive retouching or unlimited revisions will be supplied.

Confirm the feedback process and any dependencies on your selections, approvals or payments. If you need an early announcement image, ask whether it can be included in the agreement rather than assuming an immediate preview. RAW files, extra edits, rush delivery, prints, albums and film are separate only-if-agreed items. Download the final files and keep your own backups within the stated access window; permanent online storage is not promised.

The written licence sets out personal sharing and printing. Use by a venue, planner, dress supplier or other business for advertising is a different permission and is not automatically included when you share your gallery with them. Ask before supplying images for commercial reuse. If files are missing, inaccessible or do not match the agreed delivery, contact us with the details so the issue can be reviewed.

A few useful answers.

How is pre-wedding photography different from wedding-day coverage?

A pre-wedding session is planned around portraits, locations and time together; it does not document the ceremony unless that is separately agreed. Wedding-day coverage follows actual events and their timetable. Tell us which you need so the coverage, crew and deliverables are scoped correctly.

Can we book only an intimate ceremony or part of the day?

Tell us which parts matter most and the locations involved. We discuss a defined coverage window rather than assuming a full-day package. Preparation, travel, family photographs, portraits and the reception are included only where the written scope says so; shorter coverage cannot promise a record of events outside that window.

Do you include planning, film, styling or a second photographer?

This service is scoped around photography. Wedding planning, film, a second photographer, aerial work, outfits, makeup, flowers, decoration and transport are not automatic inclusions. Request what you need before confirmation so availability, responsibilities and costs can be agreed. Aerial work is subject to separate feasibility and permission checks.

What should we prepare for family photographs and couple portraits?

Share a short priority group list, nominate someone who knows the relatives and tell us privately about any combinations to avoid. For couple portraits, discuss your preferred style, outfits, changing arrangements and comfort with posing. Include children’s needs, walking limitations and preparation time in the plan; the photographer provides direction, not childcare or event management.

What happens if it rains, or if we need to change or cancel?

For a fixed-date wedding, agree covered or indoor options with the venue and planner in advance. A pre-wedding session may allow a different time, route or date, subject to availability and written agreement. Contact us promptly and request acknowledgement. Change, cancellation and any refund depend on the agreed terms and relevant work or supplier commitments; neither good weather nor a replacement date is guaranteed.

How many photographs will we receive, and when?

The written booking defines the quantity or selection basis, who selects, editing scope, formats, delivery method and expected date. These depend on the commissioned coverage, so there is no universal image count or turnaround on this page. Ask about announcement images, additional retouching, albums or RAW files before booking; they are not assumed to be included.

Can our photographs stay private, and can vendors use them?

Publicity permission is separate from booking. Discuss private delivery, guest preferences and any permitted portfolio use; public use of children’s images needs appropriate guardian permission. Your personal-use licence does not automatically grant advertising rights to a venue, planner or other vendor. Ask before authorising commercial reuse or sharing files for that purpose.

How do we confirm a date, and what if the schedule runs late?

An enquiry does not hold a date. The booking is confirmed in writing once the agreed requirements, including an initial payment if required, are met. Check the coverage window, price, extras and change terms before paying. If you are delayed, contact us immediately; the original finish time may still apply, and additional coverage requires availability and an agreed cost.
