Who these terms are for
These terms explain use of the Phu Quoc Times Media website and the general basis for enquiries about branding, marketing, content production, photography and filmmaking. They are read alongside Privacy & Cookies, Image Usage & Permissions and, for personal photography bookings, the Booking, Payment & Cancellation Policy.
Phu Quoc Times Media is the brand presented on this website. The quotation, invoice and service agreement identify the actual contracting supplier, customer and applicable business details. Contact the team using the details below if you need that information before deciding whether to proceed.
Using the website responsibly
You may browse the website, share links and contact us about a genuine enquiry. Do not submit unlawful content, impersonate another person, attempt unauthorised access, interfere with the website or use its forms for spam. Only supply material and personal information you are entitled to share.
Photographs, copy, logos and other website materials are not an open stock library. Browsing or downloading a visible image does not grant a commercial licence or permission to republish it. Request written permission for reuse beyond what applicable law permits.
Service descriptions and photographs illustrate our work and approach. They do not guarantee a particular location, staff member, weather condition, business result or exact reproduction of a reference image. External websites and messaging services have their own terms; a link is not a promise about their availability or security.
Enquiries, quotations and confirmation
Sending a form, discussing an idea or receiving an automated acknowledgement does not confirm a booking, reserve a date or create an agreed project scope. A confirmed engagement requires our written acceptance of the scope and commercial terms and completion of any payment or other confirmation requirements stated in that agreement.
Before confirmation, the written quotation should identify the parties, services, deliverables, schedule, price and currency, tax treatment, payment milestones, usage rights, customer inputs and any exclusions or extra costs. Its stated validity period applies. If an item is unclear or missing, ask for it to be clarified before accepting or paying.
Changes to scope, schedule, revisions, usage or deliverables require written agreement. Additional work is not included merely because it was discussed; its cost and timing must be approved before it is undertaken.
Customer and team responsibilities
Please provide accurate contact details, relevant briefs, required approvals and materials by the agreed dates. Nominate someone authorised to approve work for a business or group. Tell us about venue rules, access restrictions, confidentiality needs, important participants and required permissions before the work begins.
We will clarify the agreed scope, communicate practical requirements and notify you of material changes affecting delivery. Responsibilities for permits, models, locations, transport, third-party suppliers and client-provided materials should be allocated in writing rather than assumed.
Delays in inputs, approvals or access may affect the schedule. We will discuss a revised plan and any justified additional work with you. Neither a safety concern nor a customer’s statutory rights are waived by these terms.
Delivery, review and intellectual property
The service agreement defines the delivery method, file formats, image or video selections, review process and included revisions. Raw files, editable project files, unused material, additional language versions and third-party source assets are included only when expressly agreed.
Please review delivered work against the agreed brief and explain any discrepancy with specific examples. Creative preferences and a defect or failure to meet the agreement are different issues; we will discuss the appropriate correction, revision or remedy. An additional creative request may require a separate quotation.
Copyright, licences, credits and any transfer of rights follow the written agreement and applicable law. Payment for a service should not be assumed to include unrestricted ownership of all source materials, third-party assets or rights to another person’s likeness. The Image Usage & Permissions page explains these distinctions.
Changes, disruption and cancellations
If illness, unsafe weather, venue restrictions or another disruption affects a project, contact the other party promptly. We will discuss realistic alternatives, revised timing and the treatment of work already completed or commitments already approved. An alternative crew member, location or material change is not imposed without discussing its effect on the agreed service.
For photography customers, the Booking, Payment & Cancellation Policy explains the confirmation and change process. Project-specific cancellation charges, payment schedules and remedies must be clear in the agreement and remain subject to applicable law; this website does not create an automatic non-refundable fee.
Questions, complaints and the applicable agreement
If you have a concern, contact us with the quotation or booking reference, relevant dates, a description of the issue and the outcome you are seeking. Keep copies of the agreed terms, payment records and correspondence. We will review the matter and discuss a response; you retain the right to seek assistance from competent authorities or other remedies available under law.
A specifically agreed written service contract governs its project details where it differs from general website guidance, to the extent permitted by law. Nothing here excludes mandatory consumer rights or responsibility that cannot lawfully be excluded. These terms do not require you to waive access to lawful complaint or dispute-resolution procedures.
English and Vietnamese versions are intended to convey the same policy. If wording differs, request clarification and record the agreed wording and language in the service agreement. Later website edits do not silently change a previously confirmed agreement. The revision date indicates the website version being displayed.
