When you are hosting, there is already plenty to think about. Arrivals, conversations, speeches and group photographs can overlap, while guests have different preferences about being recorded. Without clear priorities and a point of contact, the important moments can sit outside the coverage you thought you had booked.

A short brief, a realistic coverage window and an agreed contact let photography or filming fit around the occasion. We plan for your priorities and guest preferences so you can spend more of the gathering with the people you invited.

Begin with the gathering, not a list of shots

A birthday, private dinner, reunion or family celebration has its own rhythm. Tell us why people are coming together, who matters most and whether there are surprises or traditions we should understand. Choose a short list of priorities: arrivals, shared activities, details, a toast, a cake or group photographs. The aim is to record the occasion with consideration, not turn every conversation into a directed scene.

This service follows the agreed parts of an actual gathering, whether short or extended. If you want one focal moment with portraits rather than programme coverage, choose Proposals & Celebrations; a holiday portrait session or wedding needs its own brief. Business launches, conferences and brand-led events belong in commercial production. Photography or filming does not include organising the party, booking the venue, catering, decoration, entertainment, guest management or childcare unless a separate service is expressly agreed.

Give coverage a beginning, an end and a day-of contact

Share a running order, even if it is informal: access and setup, guest arrivals, speeches, activities and the likely finish. Note any move between venues and which moments need photographs, video or both. Agree the coverage start and end, and clarify how setup, travel and waiting are counted. We prioritise the commissioned parts; coverage is not a promise to record every guest, reaction or activity happening elsewhere.

Nominate a host or organiser who can notify the crew before a key moment begins, gather people for priority group photographs and discuss changes. Flag simultaneous activities when choosing crew size; one person cannot be assumed to photograph and film every moment at once. If a speech moves later or the party continues, the original finish time may still apply. Extra coverage needs availability and an agreed cost, not an assumption that the crew will stay indefinitely.

Let guests know what is being recorded and shared

Tell us in advance about guests who do not want to be recorded, no-camera areas, sensitive moments and any limits on identifying people. Agree how the host will communicate arrangements and how a guest can raise a concern on the day. Attendance is not automatic permission to publish someone’s image, and the person booking cannot simply give publicity consent for every adult. For children, involve the appropriate parent or guardian and keep supervision with a responsible adult.

Private delivery to the host and public use in a portfolio, social post or venue promotion are separate decisions. Agree who may receive the files, whether guests may receive a link and any access controls needed before confirming a delivery method. Share links only with authorised recipients; a private event does not make an unrestricted link confidential. Avoid unnecessary names or personal details in public captions, and tell us promptly about a recording or sharing concern.

Plan for the room, the light and the sound

Describe how the venue will look during the event, not only during a daytime visit. Indoor lighting, evening activities, room layout, equipment restrictions, power access and space to move can all affect coverage. Name the venue contact and agree who checks access, fees and permission for outside photographers or film crews. Provide any relevant mobility or sensory considerations so group photographs and movement can be planned with guests in mind.

If video needs understandable speeches, a full recorded toast or ambient sound, say so in the brief. Identify who controls the sound system and whether a suitable connection or separate microphone arrangement can be agreed. A short highlight edit is not the same deliverable as a complete speech recording. Photo-only, video-only and combined work need their own crew and equipment plan; aerial filming is a separate request subject to feasibility, conditions and permissions.

Prepare for a changed setting or programme

For an outdoor gathering, discuss an appropriate covered or indoor alternative with the organiser and venue before the day. Agree who decides on a move and how the crew will be told. The backup needs to work for the guests, lighting, sound and access, not just offer shelter. We do not continue unsafe or prohibited activities, and cannot promise a particular sunset, an empty setting or identical images after a move.

Event rescheduling involves guests and suppliers as well as the coverage team. Contact us promptly if the date, venue, timing or scope changes, and request written confirmation of the new arrangement. Availability on another date is not guaranteed. Change, cancellation and payment treatment follow the written booking terms; explain and agree extra work or supplier costs before proceeding. A cloudy forecast does not automatically cancel the booking or trigger a refund.

Agree the edited record and how guests will receive it

Before confirmation, define the edited photograph quantity or selection basis, who selects, editing scope, file formats and expected delivery dates. For video, specify the finished edits, duration or range, aspect ratios, sound, music and any text or captions. Music must be suitable for the agreed use. Feedback rounds, urgent selections, extra versions, raw footage, RAW photographs and editable project files are not automatic additions; include any requirement in the written scope.

Confirm how the host receives files and whether guest access or separate selections are part of the delivery. Download and back up the final files within the agreed access window; permanent storage is not promised. Personal sharing and printing follow the agreed licence. A venue, supplier or sponsor using the work for promotion needs separate clearance, and portfolio publication requires separately recorded permission. Report missing files, access problems or a mismatch with the agreed delivery so it can be reviewed.

You check the terms and fulfil the stated booking requirements, including any required initial payment; the team confirms the booking in writing. Nominate the organiser contact and complete assigned access and guest arrangements.

Before we begin

A few useful answers.

What kinds of private events does this cover?

Birthdays, private dinners, reunions and personal or family gatherings where coverage follows the programme. Share the activities, guest scale and priorities rather than assuming a fixed package. For one focal moment and portraits, see Proposals & Celebrations. The distinction is the brief, not a minimum duration or guest count. Weddings and commercial events need their own scope.

Can we book photography, video or both?

Yes, request the formats you need and the moments important to each. Combined coverage may require additional crew, especially when activities overlap. A highlight film, complete speech recording and edited photo collection are different deliverables; none automatically includes the others.

Do you organise the event or arrange suppliers?

This service is for photography and filming, not an event-planning package. Venue booking, catering, decorations, entertainment, guest coordination and childcare remain with the host or appointed suppliers unless separately agreed. Nominate someone who can coordinate with the crew during the event.

Can guests opt out, and can the images stay private?

Tell us about recording restrictions and agree how guests will be informed and who handles concerns on the day. Private delivery and public portfolio use are separate; the organiser cannot automatically authorise publicity for every guest. Involve the appropriate parent or guardian for children, and agree who can receive or share the files.

What do you need from the venue, especially for evening coverage?

Share the room layout, actual lighting, access times, equipment rules and a venue contact. If speeches need to be heard in a film, identify the sound-system contact and discuss recording arrangements in advance. Permissions, fees, additional lighting, microphones and aerial work need explicit responsibilities and scope; they are not inferred from a reference image.

What if the programme runs late or changes on the day?

Have your nominated contact tell us as soon as timings change, particularly before a priority moment begins. The agreed finish time may still apply. Extensions depend on crew availability and an agreed cost; coverage outside the booked window is not guaranteed. Discuss overlapping activities before booking so staffing can reflect the priorities.

What happens if it rains or we need to cancel or move the event?

Agree a suitable covered or indoor option with the organiser and venue where possible. Safety and permitted access come first. A different date depends on availability and written confirmation; cancellation, changes and any refund follow the agreed terms and relevant work or supplier commitments. A cloudy forecast alone does not automatically cancel coverage.

What will we receive, when, and can guests or suppliers use it?

Your written booking defines the edited photographs or films, selection process, formats, expected dates and included feedback. Guest links, urgent selections and extra outputs should be requested before confirmation. Raw files and project files are not automatic inclusions. Agree personal sharing, keep a downloaded backup and request separate clearance before a venue or supplier uses the work commercially.
