Who handles your information

Phu Quoc Times Media is the customer-facing brand for this website and the point of contact for information submitted through its business, photography and general-contact journeys. Use the contact details on this page for questions or requests about that information. Your quotation or service agreement identifies the contracting supplier and its invoicing details; ask us to clarify these before confirming a service.

This notice covers website enquiries and the planning and delivery information you provide to our team. It also explains website storage, optional measurement and connections to external services. A project requiring additional data processing, confidentiality or a particular delivery platform may need a separate written arrangement.

Information you provide

Contact forms collect your name, email, message and preferred contact channel, with a telephone number when provided or needed for your chosen channel. Business enquiries may also include company, role, industry, objectives, selected services, timing, budget guidance and referral information. Photography enquiries may include visitor or resident status, occasion, preferred date and flexibility, participant count, setting, selected service, photo/video preferences, budget and notes.

Messages, references, agreed briefs, photographs, video and delivery correspondence may be exchanged when we plan or provide a service. Provide only what is relevant. Do not enter payment-card details, passwords, identity documents, medical records or unnecessary information about other people in a website form. If an access requirement matters, describe the practical assistance needed rather than sending a detailed medical history.

These forms do not accept payment or create a customer account. An enquiry is not a booking confirmation. We do not need children’s full names, school details or identity documents to receive an initial photography enquiry.

Why information is used

We use relevant information to answer your enquiry, check availability, prepare a quotation, plan and deliver the agreed work, communicate changes, handle feedback and resolve payment or service questions. Information may also be needed to protect the website, prevent misuse and meet applicable legal obligations.

The form asks permission to contact you about your request. This is not permission to add you to an unrelated marketing list, publish your photographs or enable analytics. Where processing relies on consent, you may withdraw that consent; this does not undo processing already lawfully completed. Some records may still need to be retained for a contract or legal obligation. We do not sell personal information.

What happens when you submit a form

The website sends your contact information and entered planning details to the Phu Quoc Times contact service at api.phuquoctimes.com. Planning details are included in the request message. The website displays success only after the service acknowledges acceptance; that acknowledgement is not a promise of availability or a confirmed agreement.

If delivery is not confirmed, the current form keeps your entries so you can try again or contact us directly. There is no form-draft autosave implemented by this website. Reloading or closing the page may discard unsent entries; your browser’s own autofill features are controlled separately by you.

Cookies, browser storage and analytics choices

Optional analytics storage is off by default. Google Tag Manager loads when a public page opens, with analytics and advertising consent set to denied unless you previously allowed analytics on media.phuquoctimes.com. Selecting “Allow analytics” in Privacy settings enables analytics storage on that domain; advertising consent remains denied. Global Privacy Control and Do Not Track signals keep analytics consent denied. Forms and contact links work regardless of your choice. Google tags may send limited cookieless signals while consent is denied, and loading the container sends technical request information to Google.

Your choice is stored on this browser and origin under pqt-analytics-consent-v1 in local storage, not in a form field. The site does not set an automatic expiry for this preference; it remains until changed or cleared, subject to your browser’s storage rules. Clearing site data removes the saved choice and analytics returns to off. Another browser or device has its own choice.

Website measurement events describe actions such as navigation, service interest and form progress. The event data sent by our frontend excludes free-text messages, email addresses, telephone numbers and URL query parameters. Google’s services can nevertheless receive technical request information, such as IP address and browser details, and analytics tags may use their own cookies or identifiers when permitted. Turning analytics off stops our frontend measurement events, sets analytics consent to denied and reloads the page if analytics was enabled. Limited cookieless signals may continue. This does not delete data already collected or necessarily remove provider cookies.

Use Privacy settings to change the website preference. Use your browser’s site-data controls to inspect or delete cookies and local storage. Video and external messaging choices are separate from analytics consent and are explained below.

Service providers and external connections

Website hosting and the contact service receive the technical requests needed to serve pages and deliver enquiries. Relevant team members and service providers may handle enquiry correspondence, agreed production work and delivery on a need-to-know basis. Information may be disclosed where required by law. Ask us before sending confidential materials if you need an approved recipient list or a particular processing location.

Sanity supplies website content and serves some published photographs through cdn.sanity.io. Loading those photographs connects your browser to that provider; it is not a private customer gallery. The enquiry forms send to the contact service, not directly to Sanity.

Google Tag Manager connects to Google when a public page loads; a noscript iframe provides its fallback if JavaScript is disabled. Analytics storage follows the consent controls described above when JavaScript is available. An embedded YouTube player is loaded only when you choose to play a video; YouTube may then process technical information and use storage under its own policy. Clicking LINE, WhatsApp, Messenger or Zalo opens an external service. That service’s privacy terms apply to your subsequent interactions and any information you choose to send there.

Infrastructure and external providers can process data outside Vietnam. We do not represent that every request or record stays in Vietnam. If local-only processing, a confidentiality agreement or specific transfer safeguards are required for your work, discuss this before providing the material so the arrangement can be assessed and documented.

Storage, retention and deletion

Enquiry correspondence is retained for handling the enquiry, relevant follow-up and resolving outstanding questions. Service briefs, agreements, payment records and permissions may need to be kept for delivery, accounting, legal duties or a dispute. These categories do not necessarily have the same retention period. Information that is no longer needed should be deleted or anonymised rather than kept for unrelated purposes.

Photographs, working files and download galleries follow the delivery and archive arrangements in your written agreement. A download link is not a promise of permanent storage. Ask us to confirm the download window, archive period and deletion arrangements before booking, and keep your own backup of delivered files.

You can ask what records we hold for your enquiry or project, why they are still required and whether deletion is possible. If a legal or contractual reason prevents immediate deletion, we will explain the relevant limitation. Backup copies, provider logs and public caches may not disappear at the same time as an active record; removing a photograph from this website does not guarantee removal of copies already downloaded or shared elsewhere.

We limit handling to the information needed for the task and use reasonable safeguards against unauthorised access. No internet transmission or storage system can be guaranteed risk-free. Do not send passwords or sensitive documents through the general enquiry form; discuss an appropriate transfer method first.

Your choices and privacy requests

Contact us to request information about processing, access to or correction of your information, deletion, withdrawal of consent, or restriction or objection where applicable. Include the email address or booking reference associated with the request and describe what you want us to do. We may need proportionate information to verify that the request concerns you or someone you are authorised to represent; do not send identity documents unless we explain why they are necessary and how to send them safely.

We will consider the request under applicable law, explain any information needed to handle it and any lawful limits on the requested action. You may also raise a concern with the competent authority or seek other remedies available under applicable law. Declining optional analytics or portfolio publicity does not prevent you from making a service enquiry; withdrawing information needed to deliver a service may affect what we can provide.

A parent or legally authorised guardian should handle a child’s booking information. Public use of identifiable customer photographs, including images of children, is addressed separately in Image Usage & Permissions. Contact us if information about a child has been supplied or published without appropriate authority.

Changes to this notice

The revision date identifies the version displayed here. We update this notice when the website or relevant handling arrangements change. A new purpose requiring consent will not be treated as approved merely because this notice was updated. Contact us if you need clarification about the notice that applied to your enquiry.
